Accessing the Admin Panel

The admin panel is the central hub for managing your school's NimbusLearn configuration. Only users with the Administrator role can access it.

  1. Log in to NimbusLearn with your administrator account.
  2. Click the Admin link in the left-hand navigation menu. On mobile, tap the hamburger menu and then tap Admin.
  3. You will be taken to the admin dashboard, which shows an overview of your school — total students, active courses, and recent activity.

From the admin dashboard, navigate to Settings to access the configuration tabs: School, Academic, Grading, Promotion, and Notifications.

School Tab

The School tab lets you configure the basic identity of your institution within NimbusLearn.

  • School Name — the name displayed across the platform and on the login page.
  • Address — your school's physical address.
  • Logo — upload your school's logo (PNG or SVG). The logo appears on the login page and in the header.
  • Primary Color and Secondary Color — customize the platform's color scheme to match your school's branding.

Academic Tab

The Academic tab defines your current term and calendar dates. All courses and grades are tied to the active term.

  • Current Semester — the name of the active term (e.g., "Fall" or "Semester 1").
  • Current Year — the academic year label (e.g., "2025–2026").
  • Semester Start Date — the first day of the current term.
  • Semester End Date — the last day of the current term.

Courses are associated with a semester and year via their sections. When you update the active term, new courses will default to the current semester and year.

Grading Tab

The Grading tab controls how student performance is measured and displayed school-wide.

  • Grading Scale — define the minimum percentage threshold for each letter grade (e.g., A = 90%, B = 80%, C = 70%, D = 60%, F = 0%). Adjust these ranges to match your institution's grading policy.
  • Default Passing Grade — the minimum percentage required to pass a course (e.g., 60%).
  • Show Letter Grades — toggle whether letter grades are displayed alongside percentages.
  • Show GPA — toggle GPA display for students and on reports.
  • GPA Scale — set the maximum GPA value (typically 4.0 or 5.0).
  • Attendance Affects Grade — when enabled, attendance is factored into the student's final grade.
  • Attendance Weight — the percentage weight that attendance contributes to the final grade (e.g., 10%).

The grading scale applies school-wide. Individual course sections can also configure their own late penalty settings (per-day deduction and lowest possible grade) independently.

Promotion Tab

Promotion settings control how students advance between grade levels at the end of a term.

  • Minimum Grade Level and Maximum Grade Level — define the range of grade levels your school supports (e.g., Grade 1 through Grade 12).
  • Auto-Archive on Promotion — when enabled, student enrollments from the previous term are automatically archived during promotion.
  • Require Grade Approval — when enabled, final grades must be approved by an administrator before students can be promoted.
  • Graduating Grade Action — what happens to the grade level when a student completes the maximum grade.
  • Graduating Student Action — what happens to student accounts upon graduation. Options include keeping them active, deactivating them, or marking them as alumni.

The admin dashboard includes a dedicated Promotion page where you can execute promotions, review results, and see a log of past promotion actions including how many students were promoted, graduated, or held back.

Notifications Tab

Control how NimbusLearn communicates with your school's users.

  • Email Notifications — toggle email alerts for important events like new announcements and grade updates.
  • SMS Notifications — toggle text message notifications.

When enabled, the system sends notifications based on key events such as new announcements, assignment grades, and attendance updates.
